What you’ll do:

  • Skillfully process and prioritize incoming bid requests to ensure our team is always on top of new opportunities

  • Create and maintain streamlined email folders, making information easily accessible for all team member

  • Establish new project folders, expertly manage the download, upload, and extraction of bid documents to keep everything running smoothly

  • Seamlessly upload bid drawings to our Bangalore folder, ensuring our international teams are well-informed

  • Add incoming bid requests to the estimating calendar, keeping our schedule meticulously organized and up to date

  • Maintain the estimating calendar with precision, ensuring no deadlines are missed

  • Zip bid documents for engineering quotes, enhancing the efficiency of our quoting process

  • Coordinate closely with the Vice President of Estimating & Sales and the Senior Estimator, ensuring they are always in the loop about new bids and crucial information

  • Finalize quotes after thorough review and preparation, readying them for client approval

  • Dispatch quotes that have been greenlit by the Vice President of Estimating & Sales and the Senior Estimator, ensuring timely delivery

  • Set up the preliminary framework for newly awarded projects, laying the groundwork for success

  • Delegate tasks to the estimating team, ensuring each member knows their role and responsibilities

  • Scrutinize bid documents for engineering requirements and coordinate pricing, ensuring accuracy and completeness

  • Prepare detailed quotes from finalized takeoffs, showcasing our commitment to precision and excellence

  • Assist in updating and maintaining procedural documents for the Estimating Department, fostering continuous improvement

  • Create Bluebeam overlays for revised projects, perform high-level reviews, and communicate effectively with the North America Team to ensure clarity and alignment

  • Ability to prioritize and manage multiple bid requests efficiently
  • Proficiency in using document management software and storage solutions
  • Experience in updating and maintaining procedural documents
  • Excellent communication and interpersonal skills
  • Proven communication skills for coordination with distributed and international teams
  • Proficiency in using calendar and scheduling software
  • Experience in project initiation and setup processes
  • Experience in reviewing technical documents and requirements
  • Experience in preparing detailed and accurate quotes
  • Attention to detail and adherence to company standards
