Receptionist & Executive Personal Assistant

We are seeking a highly organized and professional individual to fill the position of full-time Receptionist & Executive Personal Assistant. The successful candidate will be responsible for assisting in managing front desk operations, providing administrative support, and assisting with personal tasks as needed for one of our two principal owners. This role requires discretion, excellent communication skills, and the ability to handle confidential information with integrity.

Primary Responsibilities:

  • Greet visitors and ensure a welcoming atmosphere in the reception area.
  • Answer and screen incoming calls, redirecting them when appropriate.
  • Manage executive calendars, schedule appointments, and coordinate meetings.
  • Arrange travel itineraries, accommodations, and transportation for executives.
  • Prepare and organize documents, reports, and presentations for executive meetings.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Assist with personal tasks and errands for executives, including managing and coordinating personal appointments and schedules.
  • Maintain office supplies inventory and place orders as needed.
  • Coordinate with other administrative staff to ensure smooth office operations.
  • Handle ad-hoc administrative tasks and projects as assigned.

Qualifications:

  • Bachelor's degree or equivalent experience in office administration or related field preferred.
  • Proven experience as a receptionist, administrative assistant, or executive assistant.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Ability to prioritize tasks and manage multiple deadlines efficiently.
  • Discretion and integrity in handling confidential information.
  • Professional demeanor and appearance.
  • Flexibility to adapt to changing priorities and responsibilities.
  • Previous experience supporting executives and managing personal tasks is a plus.
