Ventrata is seeking for an Executive Assistant who’s ready to be the right hand to our CEO and executive team. If you're someone who loves organizing the chaos, managing busy schedules, and keeping everything running smoothly, we want to hear from you! You’ll be the go-to person who makes things happen behind the scenes, helping the team stay on track and focused on what matters most. Wondering how your days will unfold? Here's what you’ll be handling..

  • Calendar Management: Coordinate and manage schedules for the CEO, including meetings, travel arrangements, and appointments.
  • Personal Assistance: Assist with select personal assignments, including coordinating personal appointments, handling confidential personal matters, and ensuring seamless management of the CEO’s professional and personal priorities.
  • Communication: Act as a liaison between the executive team and internal/external stakeholders, handling correspondence, emails, and phone calls professionally and efficiently.
  • Meeting Preparation: Prepare agendas, presentations, and materials for meetings; record and distribute meeting minutes as necessary.
  • Travel Coordination: Arrange domestic and international travel plans, including flights, accommodations, itineraries, and logistics for the executive team.
  • Administrative Support: Handle expense reports, document management, and filing systems; ensure accuracy and timeliness in all administrative tasks.
  • Event Planning Support: Assist with the planning and execution of company events, team offsites, and other executive-led initiatives.
  • Project Assistance: Support special projects and initiatives as directed by the executive team, ensuring timely completion and alignment with goals.
  • Confidentiality: Handle sensitive information with utmost discretion and professionalism.
  • Office Management: Take care of our office in Lisbon, ensuring it is well-maintained, organized, and equipped to support daily operations and a positive work environment. Make sure our occasional visitors feel welcome and comfortable. You don’t have to visit the office every day, but ideally, you would drop by at least twice a week.
