About the role

The Logistics Specialist is responsible for managing all aspects of outgoing domestic and international shipments. This includes coordinating and overseeing all logistics providers and freight forwarders. This person is also responsible for preparing all trade compliance documents, dangerous goods paperwork, commercial invoices, etc. Some shipment projects require the precise coordination from multiple origination points to single or multiple destination points in support of high-visibility demos or trade shows. Additionally, this individual will assist with receiving incoming shipments for our production facility.

  • Manages the outbound shipment of all products, materials, and supplies.
    - Coordinates standard shipments for both domestic and international destinations.
    - Partners with commercial team members to handle complex shipping logistics for key customers and major projects such as demos or trade shows which require a high degree of attention and micro-managing.
    - Collaborates and communicates with external parties, such as logistics providers and customer service representatives, to ensure success of shipping activities.
    - Determines HTS codes and prepares pro-forma invoices, trade compliance documents, dangerous goods filings, and other paperwork for international shipments.
    - Tracks progress of outbound shipments and provides status updates to management as needed for critical shipments.
    - Supports outsourced assemblers through managing consignment shipments by actively engaging with buyers and production schedulers.
    - Remains current on logistics industry regulations and certifications, especially pertaining to dangerous goods and lithium-ion batteries.
    - Leads carrier and 3PL supplier selection and development for current and future operations.
    - Files and manages claims for loss or damage for outbound shipments.
  •  Supports the receiving function of all products, materials, and supplies.
    - Assists with receiving of inbound shipments and processing into the ERP system.
    - Tracks status of incoming shipments and investigates and addresses issues (e.g., late, missing, or damaged goods).
    - Promptly assists with unloading trucks and deliveries, verifies goods received, records receipt for accounts payable and inventory management, and reports damages/discrepancies to appropriate parties.
    - Operates equipment such as forklifts and pallet jacks as needed.
    - Supports other facilities and remote workers receiving by handling ERP transactions and proper receipt recording for accounts payable.
    - Files and manages claims for loss or damage for inbound shipments.
  •  Additional responsibilities
    -  Assist with creating and updating documentation of shipping and receiving policies, process, etc.
    - Provides backup support for inventory stockroom as needed.
    - Understand required shipping certifications for shipping the company’s products and maintain those certifications and standards, such as dangerous goods certification as recognized by DOT and IATA.
    - Maintains forklift trainer certification.

About you

  • Generally, 5 - 8 years of related experience in logistics or supply chain functions. Ideally a first level university degree or equivalent experience.
  • Strong understanding of logistics and procurement processes.
  •  Experience with MRP systems.
  • Role requires full-time on-site work.
  • Ability to work as part of a team and experience managing a team.
  • Excellent verbal and written communication skills, including the ability to share data and information via documents, spreadsheets, and other tools.
  •  Ability to exercise independent judgment to solve complex issues.
