Schedule:

Monday -Friday 12:30pm-4:00pm

SUMMARY Entry-level clerical support position who schedules appointments, gives information to callers, takes dictation, and otherwise relieves managers and supervisors of clerical work and minor administrative and business detail by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Reporting relationships, work assignments, and work schedules may be subject to change in order to meet City needs or operational requirements. Attendance at work and the ability to get along with the public, supervisors, and co-workers are essential elements of this position. Other duties may be assigned.

Reads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by employer.

As required, takes dictation in shorthand or by machine and transcribes notes on typewriter or computer, or transcribes from voice recordings.

Composes and types routine correspondence.

Organizes and maintains file system, and files correspondence and other records.

Answers and screens manager's telephone calls, and arranges conference calls.

Coordinates manager's schedule and makes appointments.

Greets scheduled visitors and conducts to appropriate area or person, or works a public service desk.

Arranges and coordinates travel schedules and reservations.

Conducts research, and compiles and types statistical reports.

Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.

Operates various modern office machines, both general and department-specific, necessary to perform administrative functions to include personal computers.

Operates various software packages and programs, both general and department-specific, as required by the department manager.  

Able to perform all required tasks using financial, payroll, purchasing, maintenance management, and personnel management software as required by the department manager.

Makes copies of correspondence or other printed materials.

Prepares outgoing mail and correspondence, including e-mail and faxes.

Orders and maintains supplies, and arranges for equipment maintenance.

Deals courteously and diplomatically with the general public. Maintains confidentiality of all customer records and transactions.

Must be able to handle stressful situations.

Assists in the opening/closing of the department.  As required, coordinates facility management and maintenance issues.

Upholds the mission of the City of Bentonville and departmental mission, values and professional codes.

Performs other related duties as required.

EDUCATION and/or EXPERIENCE High school diploma or General Education Degree (GED) and one (1) year related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
