About The Job

The role of an Executive Assistant (EA) at Flock Freight is designed to be a pivotal support system for the CEO and ELT team, enhancing their ability to manage both personal and professional responsibilities effectively. This position requires a high level of organization, communication skills, and the ability to handle multiple tasks simultaneously with minimal supervision. The EA will be responsible for a wide range of activities including managing calendars, arranging travel, coordinating meetings, and handling sensitive information with discretion.

What you will be doing: 

  • Calendar Management: 
    • Organizing personal and business meetings, including scheduling, sending reminders, and journaling notes
    • Managing ELT personal and business calendars and associated to-do lists, including making appointments and prioritizing urgent matters as necessary, ensuring work plan documents are updated and circulated prior to meetings
  • Travel Coordination
    • Demonstrated success in arranging personal and business travel itineraries for the Executive Team and traveling party, including flights, hotels, and any additional accommodations required
  • Event Planning: 
    • Excellent event planning skills to help coordinate events such as team events, offsites, or personal or business celebrations
    • Ordering and facilitating the delivery of food and supplies for meetings and events
  • Customer Service Focused: 
    • Ability to be in the Office 5 days a week from 8 am to 4 pm, with flexibility when ELT is traveling and working remotely
  • Communication & Collaboration: 
    • Excellent communication skills to build strong relationships with both internal stakeholders (e.g., ELT, SLT, ect) and external partners (Investors, the Board, ect).

You have demonstrated exceptional capabilities as an Executive Assistant to the CEO, thriving in environments that demand high levels of leadership and a fast-paced nature. Your resilience and team-oriented approach are commendable, and your willingness to exceed expectations underscores your dedication to the role.

This position requires a minimum of 5 years of experience in a similar capacity, proficiency with tools like Google Workspace, and the ability to adapt to working hours outside the standard office times as needed. The ideal candidate will be a robust team player with a professional demeanor, deeply committed to the mission of the company, and skilled in managing confidential information with the highest level of discretion.


The expected on-target earnings range for this position is $81,000 to $120,000 per year. This range reflects typical earning potential in this role. When determining an offer, we take into account a variety of factors that are important in making compensation decisions including, but not limited, to: skill sets; experience and tenure; education and certifications; and other business and organizational needs. The disclosed range estimate is based on market data for the greater San Diego area. Salary bands may, in some circumstances, be adjusted to a different geographic area depending on the candidate's position and location. In general, Flock Freight targets the mid-point of this salary range.

In addition to salary, full-time employees are also eligible for an equity package and our competitive benefits that support you and your family as part of your total rewards package at Flock Freight. Our policy is that we target candidates local to one of Flock Freight’s headquarters locations (San Diego and Chicago) and ask that employees work in-office.
