The Role

We are seeking a Client Coordinator at Breakthrough Properties to support multiple locations, including our StudioLabs facility(ies), in San Diego, CA. The Client Coordinator will support the daily operations of the facilities, managing office and some laboratory requirements as well as providing administrative services for Breakthrough’s client companies, reporting to the Property Manager, Asset Services overseeing the property.

Operational Responsibilities

  • Act as onsite concierge and operations point of contact for StudioLabs and Breakthrough Properties client companies to provide a best-in-class client-focused experience throughout the property, consistently responding to client requests and questions within stated service level agreements. Assist with client experience programming in accordance with the annual property budgets.

  • Code invoices for accounts payable items, and ensure all invoices are processed timely to avoid late fees, service disruptions or market reputation. Utilize Exiger for new vendor set up.

  • Facilitate accounts receivable processes, including rent-up, rent statements, CAM’s, late fees, and above standard billings in accordance with lease terms.

  • Review collections with the Property Manager, Asset Services weekly or more often as needed to ensure timely receipt of all amounts due. Assist in the preparation of the annual property operating budgets, monthly financial statements, quarterly reforecast, variance reporting and CAM billings. (Kardin and Yardi).

  • Maintain Certificate of Insurance management for all vendor partners and client companies.

  • Lead and organize client appreciation events as budgeted for the property.

  • Participate in general operations maintenance to include, but not limited to, back-of-house operations, physical inspections of the properties and client spaces at least once a month or as needed. Document action items discovered during these inspections by utilizing appropriate technologies (Angus), and support facilities and engineering staff to maintain service and maintenance programs.

  • Foster and maintain client relationships providing high-level hospitality for client companies, visitors, and vendors.

  • Create and oversee content on the client engagement app.

  • Manage contact lists, meeting agendas, property calendars, and general communications internally and with the client company contacts.

  • Participate in monthly client coordinator meeting, team meetings, and / or company activities.

  • Be a critical part of a cross-functional team to ensure corporate objectives, policies and standards are met including Design + Construction, Facilities and Engineering, Leasing and Asset Management teams.

  • Respond immediately to liability issues and report details to Risk Management, including completing incident reports, as necessary.

  • Perform other property management functions required of the position and/or assigned project(s).

Studio Labs Responsibilities

  • Curate, stock, and maintain the cleanliness of the pantry and coffee bar areas.

  • Assist new clients getting setup with vendors, conducts client orientations, safety trainings and other educational forums that are beneficial to tenants including planning and in person support of events held onsite. This process includes direct interface with clients’ operations managers and key personnel.

  • Support facilities and engineering staff to maintain service and maintenance programs on all StudioLabs owned laboratory and office equipment.

  • Conduct client company staff orientation and on-boarding as needed. Assist with safety training and maintain access controls.

  • Follow and enforce standard operating procedures for the facility including the programs for laboratory safety, safety training, chemical inventories, laboratory audits, laboratory operational permits, hazardous waste disposal, and maintain accurate and up-to-date records on all training, permits, and incidents as needed.

  • Oversee and act as a point of contact for technology solutions for shared technologies provided onsite.

  • Assure that City and Agency required forms and renewals are completed on time.

Qualifications

  • Strong verbal and written communication skills to interact with individuals at all levels, provide guidance, and great customer service.

  • 1-2 years of relevant experience.

  • Strong organizational, communication and financial skills are required.

  • Must be detail-oriented, organized, and be able to consistently deliver timely and accurate results.

  • Ability to work in a fast-paced environment, multi-task, and prioritize effectively.

  • Passion for working with people, creating amazing experiences, and leading with a hospitality mindset.

  • Familiarity with property operations, inclusive of asset and property management functions, legal and risk management.

  • Experience working within a lab, completed scientific college coursework or familiarity with the life science industry and/or coworking spaces is a plus.

  • Proficient computer skills with strong knowledge in spreadsheet preparation and working experience with all Microsoft Office Products, including but not limited to Excel, Word, Outlook, Angus, Yardi, Kardin and with skills to learn proprietary software systems utilized by the Company.

  • Bachelor’s Degree or greater preferred.

  • Onsite presence is required for this position.
